Who we are

Magen People is a payroll and timekeeping application operated by Magen Software, Bacolod City, Philippines. For questions about this policy or your personal information, contact info@magensoftware.com.

Magen People is used by employers to run their own payroll. If you are an employee using it, your employer decides what is recorded about you and why; we process that information on their instructions. Requests about your own records are usually fastest through your HR team.

What we collect

Why we use it

To calculate pay, produce payslips, track attendance and leave, and compute statutory contributions and withholding tax. Some processing is required by Philippine law, including SSS, PhilHealth, Pag-IBIG and BIR reporting obligations that fall on your employer.

Who we share it with

We do not sell personal information, and we do not use it for advertising.

Keeping organisations separate

Each organisation's data is isolated at the database level. Staff of one organisation cannot read another's records, and access within an organisation is limited by role.

How long we keep it

Payroll records are retained for 10 years for BIR purposes to meet Philippine tax and labour record-keeping requirements. Records are deleted or anonymised once that period ends and no legal claim requires them.

Your rights

Under the Data Privacy Act of 2012 (RA 10173) you may ask to see the information held about you, have inaccurate information corrected, object to certain processing, request erasure or blocking where the law allows, and obtain a copy of your data. You may also complain to the National Privacy Commission.

To exercise any of these, contact your HR team or write to info@magensoftware.com. We respond within 15 working days.

Security

Data is encrypted in transit. Passwords are stored hashed and are never visible to us or to your employer. Access is controlled by role, and changes to records are written to an audit log. Uploaded ID photographs are held in private storage and are not publicly accessible.

Children

Magen People is a workplace tool and is not intended for anyone under 15, the minimum working age in the Philippines.

Changes

We will update this page when this policy changes and revise the date above. Material changes will be notified to organisation owners.
